Organize the clinical history
Review a sample patient journey with anonymized information. Check how the provider finds previous consultations, records the current visit, and reviews prescriptions and supporting documents. The record layout should reflect what your specialty needs to capture.
Match access to staff responsibilities
Reception, providers, and administrators have different responsibilities. During assessment, identify what each role needs to see or change. Demonstrate the proposed permissions with separate accounts rather than assuming every employee should have the same access.
Prepare existing records for migration
Before transferring data, inventory the files or systems you use and identify duplicate or incomplete records. Define the mapping, validation sample, and clinic sign-off process. Transfer methods and migration scope must be agreed before sharing any patient information.
Discuss retention and export
Ask how your clinic will retrieve records, handle corrections, and export information if its needs change. Retention and access procedures should follow your clinic’s policies and agreed responsibilities. Software features alone do not establish regulatory compliance.
Prepare for your workflow assessment
- Bring blank consultation and prescription templates.
- Identify staff roles and their access needs.
- Describe your current record formats and approximate volume.
- Include migration, export, and training questions in your demonstration.
Describe your workflow without sharing patient records or other sensitive medical information.
